Welcome to I Am Soil – Cultivating Connections (“we”, “us”, “our”).
This Privacy Policy explains how we collect, use, store, and protect your personal data when you use our website iamsoil.org (the “Website”).

This project is delivered by Zerodig Farms Ltd in collaboration with partners as part of the SoilTribes Initiative, funded by the European Union.

We are committed to protecting your privacy and processing your personal data in accordance with:

  1. What Personal Data We Collect

When you submit a contribution (which may include artwork, photographs, written work, audio recordings, or video recordings), we may collect:

  • First name or username
  • Email address (used for moderation and communication only — never published)
  • Age (optional). Age is required for contributors submitting audio or video recordings, in order to ensure appropriate consent procedures are followed.
  • Country (optional)
  • Parent/guardian name and email (if contributor is under 18)
  • Title and description of your contribution
  • Uploaded images or files (contribution, photo, audio recording, or video recording)
  • Audio and video recordings submitted by contributors
  • Links to social media or external platforms (e.g. YouTube, Instagram) if provided

Publicly displayed information for adult contributors is limited to:

  • First name or username
  • Country (if provided)
  • Age (if provided)
  • Contribution (and Title) or photo contribution
  • Email addresses are never displayed publicly

We may collect limited technical data, including:

  • IP address (anonymised where possible)
  • Browser and device type
  • Pages visited and interaction data

This data is used only for security, performance, and analytics purposes.

  1. Children’s Data & Parental Consent

We take children’s privacy seriously.

  • Contributors under 18 must provide parental or guardian consent before submitting any contribution (except photo of hands), audio recording, or video recording.
  • Parental name and email are used only to verify consent and are never published
  • Publicly displayed information for minors is limited to:
    • First name or username
    • Country (if provided)
    • Age (if provided)
    • Contribution (and Title) or photo contribution
    • Email addresses of minors are never published or shared publicly
  1. How We Use Your Data

We use your data to:

  • Review and moderate submissions
  • Contact you if needed regarding your submission
  • Ensure site security and prevent spam or abuse
  • Display contributor name or username, and contribution or photo contribution. Age and country may also be displayed if voluntarily provided
  • Email addresses are used solely for moderation and communication purposes and are never displayed publicly
  • To integrate audio and/or video recordings into the I Am Soil international music video, where the contributor has given explicit publication consent.

We do not sell or rent your personal data.

  1. Legal Basis for Processing

We process personal data under the following legal bases:

  • Consent — when you submit a contribution or tick consent checkboxes, including the separate publication consent checkbox for audio and video contributions, and parental consent for contributors under 18.
  • Legitimate interests – to manage and promote the project
  • Legal obligation – compliance with GDPR and funding requirements

You may withdraw your consent at any time (see Section 10).

  1. Sharing Your Data

We may share limited personal data with:

  • Project administrators and moderators (Zerodig Farms team)
  • Approved music producers working on the I Am Soil international music video, who may access raw audio and video files solely for production purposes and are bound by confidentiality obligations.
  • Audio and video contributions that receive publication consent may be published on the I Am Soil website and on YouTube. Once published on YouTube, that content is subject to Google/YouTube’s own privacy policy and infrastructure, over which we have no control.
  • Our web hosting provider, Hostinger (servers located in the EU)
  • Our email service provider (for sending admin notifications of new submissions)
  • EU funding auditors only if required by law or funding rules

We do not sell, rent, or share your data with advertisers or unrelated third parties.

  1. Data Storage
  • Submission data is stored in the WordPress database (Gravity Forms) on our Hostinger server located in the EU.
  • Submissions are also sent to the project administrator’s email address for moderation purposes.
  • Audio and video recording files are stored securely and are accessible only to the project team and approved producers. These files are retained for the duration of the project and for a maximum of 2 years following the project end date, after which they are permanently deleted.
  • Parental consent records associated with audio and video submissions are retained for the same period.
  1. Publication Consent & Withdrawal
  • Contributors submitting audio or video recordings are asked to tick a publication consent checkbox confirming they agree to their recording being integrated into the I Am Soil international music video and published on YouTube and the I Am Soil website.
  • If a contributor does not tick this box, their recording will be used internally by the project team only and will not be published.
  • Contributors may withdraw publication consent at any time prior to the final video being published by contacting soiltribes@zerodig.earth. Once the final video has been published and distributed, withdrawal of consent may not be technically possible if the contribution has already been integrated into the published work. We will make reasonable efforts to accommodate late withdrawal requests but cannot guarantee removal from already-published content.
  1. Embedded Content & External Links

Our website may include:

  • Embedded YouTube videos
  • Links to Instagram, TikTok, SoundCloud, or other platforms

These third-party platforms have their own privacy policies, and we encourage you to review them before engaging.

We use:

  • A cookie consent banner is installed on this website.
  • Essential cookies for site functionality
  • Basic analytics to improve user experience
  1. Data Retention
  • Submission data is kept for the duration of the project and for a maximum of 2 years following the project end date (January 2027). Anonymised data used for EU funding reporting may be retained longer in line with grant audit requirements.
  • Parental consent data is stored only as long as legally required
  • You may request deletion of your personal data at any time

Under GDPR, you have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request deletion of your data
  • Restrict or object to processing
  • Withdraw consent at any time
